IBAN) before a precise date.<\/li>\n\n<\/ul>\n\n\n\n<p>Keep it simple.\u00a0 Delete anything that is not essential.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The tone of the reminder<\/h2>\n\n\n\n<p>On the one hand, you wish to be taken seriously, on the other hand, hard words are counterproductive. \u00a0You are just requiring something that is in fact quite obvious: you delivered goods or service and want to be paid as agreed.\u00a0 Use a neutral tone.<\/p>\n\n\n\n<p>Avoid threatening.\u00a0 When you tell your client what you will do next if he doesn\u2019t pay, you provide him with an information and a choice.\u00a0 The information is that you consider it possible that he would not pay.\u00a0 The choice is that he can opt for the treat (like going to courts) and gamble over your determination.\u00a0 Besides, you limit yourself to the options you gave: pay or courts for instance.\u00a0 Hence, if the payment doesn\u2019t come and you don\u2019t go to courts, you lose credibility.<\/p>\n\n\n\n<p>Generally speaking, use an \u2018informative language\u2019 and don\u2019t show irritation or open the way for useless discussions.<\/p>\n\n\n\n<p>You want to be paid.\u00a0 But are also interested to know why you have not been paid in time.\u00a0 Reasons like \u201cwe have not received your invoice\u201d are interesting.\u00a0 Such reason can be an excuse but can also be true.\u00a0 If it happens regularly, you may want to send your invoices by pdf, for instance.\u00a0\u00a0 So, your reminders need be professional and inviting to contact you if there is a problem.\u00a0 A sentence like: \u201cPlease contact me if you wish, I\u2019ll be very happy to answer your questions: \u00a0John Smith on +32 xxxx or x@x.com.\u201d will make wonders.\u00a0 If they have a valid reason, you\u2019ll learn about it.\u00a0 If the reason is not valid, you\u2019ll have a chance to explain in a very positive and professional way why it is not acceptable.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The timing<\/h2>\n\n\n\n<p>Depending on many factors like the type of your clients (consumers, small companies, bigger companies), their payment process may vary.\u00a0 Some will attend to it daily; some will do it once a week.\u00a0 Some will have a longer process but, in such event, they should advise you.<\/p>\n\n\n\n<p>A payment performed today by your client is at the latest within three days on your bank account.\u00a0 That is if the client is located in Europe.\u00a0 If outside Europe, mainly within 5 days.<\/p>\n\n\n\n<p>Hence, 10 days seems a reasonable maximum term for you to receive the payment.<\/p>\n\n\n\n<p>A good way to word it is: \u201cwe summon you to pay XX EUR within 7 days (that is before xx\/xx\/20xx) on our bank account number IBAN xxx\u201d.\u00a0 Please use the reference xxx\/xxxx\/xxxxx in the payment communication.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Apply interests and costs<\/h2>\n\n\n\n<p>If your contract with the client includes provisions about the consequences of delayed payment, you should apply them.\u00a0 The interests and charges are usually expressed in the original contract like \u201cautomatically after due date and without specific warning an interest of 12% on a yearly basis from the date of invoice and a fixed charge of 10% subject to a minimum of 75 EUR\u201d.
